QuickBooks Online Bills: One Bill per Source Invoice
Summary
How Flxpoint turns source invoices into QuickBooks Online Bills, why an order can produce a Bill for each SKU, and what you can change.
Flxpoint creates one Bill in QuickBooks Online for each source invoice. It is not one Bill per fulfillment request and not one per SKU. The Bill carries the invoice number, one line for each product on the invoice, and is linked to the Purchase Order Flxpoint created for the fulfillment request.
- Send Accounting Orders. A paid channel order becomes a Sales Receipt; an unpaid one becomes an Invoice.
- Send Accounting Fulfillment Requests. Each fulfillment request becomes a Purchase Order.
- Send Accounting Invoices. Each source invoice becomes a Bill linked to that Purchase Order.
A Bill is never made straight from a channel order. The fulfillment request has to reach QuickBooks first, or the invoice fails with "Fulfillment Request not found on QuickBooks".
| Bill field | Comes from |
|---|---|
| Bill number | The source invoice's Invoice # |
| Vendor | The linked Purchase Order |
| Product lines | One line per product on the invoice; every SKU must also be on the fulfillment request |
| Shipping and Dropship Fee | Their own lines, when the invoice has them |
| Tax | The invoice's tax total |
Open the order and look at its Source Invoices section. If there is one invoice card per SKU, there will be one Bill per SKU. That happens when the source invoices each item separately, or when invoices are created for each shipment and the items ship on their own. Each extra invoice added with Add Invoice also becomes its own Bill.
- Settings > Accounting > gear icon on the integration > Accounting Operations > Send Accounting Invoices: turn it on or off, choose its Sources and its Mapping Template. None of these change how many Bills are made.
- Sources > gear icon on the source > Workflows > Source Invoices: choose how and when invoices are created. A change applies to new orders.
To end up with one Bill per fulfillment request, the request needs a single invoice that covers all its items.
An invoice shows an Invoice Accounting Sync Error?
It has not reached QuickBooks. Fix the cause named in the banner (for example, sync the fulfillment request first), then close the banner so the invoice is picked up again.
The invoice has a SKU that is not on the fulfillment request?
Every product on the invoice must match a line on the fulfillment request by SKU, and the invoice cannot have more product lines than the request. Correct the invoice so it matches.
