Stocking Manifest and Receiving Inventory
Summary
A Stocking Manifest is the record of the Stocking Purchase Orders and Transfer Orders generated to replenish an internal warehouse; quantity moves from committed to incoming to received, and only lands as on-hand stock once you receive the goods.
A Stocking Manifest is the record of the Stocking Purchase Orders (SPOs) and Transfer Orders generated to replenish an internal warehouse. You build the manifest, process the orders, then receive the goods — quantity only lands as on-hand stock at the destination once it is received.
- Build the manifest — select a destination warehouse and SKUs, then generate SPOs / transfer orders.
- Track the flow — stock moves from committed, to incoming, to received.
- Receive or void — receive to add on-hand stock; void when a source ships short.
- Sync or adjust — keep quantity current by integration/API or manual receiving.
| Term | Meaning |
|---|---|
| Stocking Manifest | The record of the SPOs and Transfer Orders generated together to replenish a warehouse |
| Stocking Purchase Order (SPO) | A purchase order to a source to replenish the internal warehouse |
| Transfer Order (TO) | Moves stock into the internal warehouse as part of the manifest |
| Incoming | Ordered Quantity minus Received minus Voided — what you still expect to receive |
| Stage | What happens to quantity |
|---|---|
| Build the manifest (SPO created) | Quantity is committed at the source; the source's available stock decreases (can show reduced or negative) |
| Process / acknowledge the SPO | The destination warehouse shows the quantity as incoming |
| Receive the goods (TO completed) | Incoming converts to received; the destination's available quantity is updated |
Receiving and adjusting quantity
| Action | Effect |
|---|---|
| Receive | Decreases incoming and increases In Stock quantity |
| Void | Decreases incoming without changing In Stock — use when the source shipped short |
| Incoming | Ordered minus Received minus Voided (only visible once the PO/TO is Processed) |
| Receive entire FR | From the Stocking Manifest, receive a whole FR/TO at once instead of line by line |
An error appears while building a Stocking Manifest
Users hit a red error box near the end of building a large PO. Try building in smaller batches; if it recurs, capture the manifest details and the error and contact Support rather than rebuilding blindly.
An API integration reports received quantity as 0 for a fully received PO
A shipment-tracking API response can show a received quantity of 0 even when the app shows the PO fully received, and fulfillment-request records for Transfer Order / Stocking PO types expose no received-quantity field. There is no reliable API read for received quantity on stocking POs today — contact Support for the current workaround.
The destination warehouse quantity did not go up after building the manifest
Expected. Building the manifest only commits stock at the source and marks it incoming. On-hand quantity at the destination updates only when the goods are received (the Transfer Order is completed).
What is a Stocking Manifest?
The record of the Stocking Purchase Orders and Transfer Orders generated together to replenish an internal warehouse.
How do I build one?
Orders → Stocking Manifest → Build Stocking Manifest: choose the destination warehouse, select SKUs and request quantities, generate the PO(s), then Process each one.
Why doesn't my warehouse stock go up right away?
Quantity is committed at the source and shown as incoming until you receive the goods. On-hand stock updates only on receipt.
What is the difference between Receive and Void?
Receive reduces incoming and increases In Stock; Void reduces incoming without changing In Stock, for when a source ships fewer units than ordered.
Can I create a new inventory record while building a manifest?
Yes. If no inventory record exists for the destination source, you are prompted to create one with a Parent SKU and Variant SKU (plus optional Title, UPC, Weight, Cost) before adding it to the manifest.
